The Key Responsibilities
- Review arrivals & departures to make sure the front desk has set up the billing correctly, routing is accurate and prepaids are charged.
- Manage incoming reservation requests via (Email, phone, sales Dept, walk-in)
- Daily balance of the house to ensure stay-thru reservations can be made and ensure the proper inventory balance is correct
- Help manage the following OTA's and other property programs (Hotel Tonight, Rate of Day, Stay-over)
- Ensure OTA requests are properly communicated to front Desk
- Reconcile (Onyx travel agent platform, Expedia, Booking.com and ihotelier)
- Assist accounting with deposits
- Enter rooming lists and set up billing. Create links for groups. Assign PM Accounts.
- Assist Group sales with group requests, rates, reservations, and email requests
- Create "Rooms Only" resume and send out to all staff weekly
- Attend the following meetings (Daily, BEO, Resume, Group Pick up)
- "Group-Pick Up" meeting would be driven by the reservation's agent (own the meeting - running the reports, ensuring that it happens each week, taking the notes and completing the changes in Opera per the decision of the meeting)
- Operating hotel switchboard, telephone program, two-way radios, hotel ordering system.
- Anticipate and recognize individual guest needs
- Make an acknowledgement before transferring or connecting a call
- Answer all incoming calls, greeting guests in the defined manner, taking orders for room reservations, directing calls to the appropriate guest room or hotel personnel
- Enter guest requests & reservations into Opera.
- Must be able to remain calm and communicate clearly with guests, management, and colleagues in the event of an emergency
- Operate PBX as the main command centre in the event of an emergency
- Be aware of daily and future events for the hotel, restaurant, and special events.
- Follow hotel grooming and dress standards, minimize safety hazards by following all safety rules and procedures.
- Must have a flexible schedule to be able to work a variety of shifts in a variety of positions.
- Keep your Manager promptly and fully informed of all problems or unusual matters of significance.
- Perform all duties and responsibilities asked of you in a timely and efficient manner in accordance with established company policies and procedures to achieve the overall objectives of this position.
- Perform any other job duties as requested by your supervisors, GM, Planning Committee Member, or the Manager on Duty.
Qualifications
Previous front desk, reservations, and/or hospitality experience highly preferred
